When You Are Trying To Contend In Business, You Need Desktop Management

Every business that succeeds grows, and as it grows their communication and information technology needs grow. Step by step a computer finds its way onto each desk in the office as each employee strives to stay at the leading edge of the business. Keeping these computers in touch with one another and properly maintained requires skilled desktop management.

The term certainly sounds like an effort to get employees to adopt a clean desk approach to office work, but that would be erroneous. The goal is to create a network of computers that allow employees to interconnect and communicate to foster the synergy of group approaches to problems. The network also serves to eliminate a fair number of meetings, which tend to increasingly eat productive hours as the number of employees increase.

Setting up a system that allows the employees to communicate with one another and their clients from anywhere and at anytime makes them much more productive and efficient. Information can be transmitted literally instantly to all employees simultaneously. Individuals who are on a trip, on holiday or sick can still get the information on mobile devices or at the latest when they first step back into their office.

One of the drawbacks to the new dependence on information technology is the cost of software and the licenses for multiple computer use. There is little a company can do as the programs need regular updating in order to stay current and to avoid security problems. The least expensive way to run a network is to have a central hub from which all the computers can be remotely cared for. There are tremendous efficiencies to gain by having an individual or small group dedicated to the care and maintenance of the company information technology system. It allows the other employees to focus on their job without the distraction of installing and updating the programs they are using to do their jobs. While individual employees may feel that it would be faster for them to install their own software, the incidence of problems arising from such a course of action reveal that is not usually the case.

Software is not always as easily installed as we would like, even those which tout a plug and play platform. Inevitably there are some machines display complications with compatibility with the configuration in place, almost the way some people present with allergic reactions to medicines most tolerate well. Dealing with these complications can cost many man hours when preformed by the average worker who maybe skilled with using the computer, but not necessarily with servicing it. Occasionally employees will bring work home, enter it into their home computer and do their magic, then bring it back to the office. While the energy of the employee is to be commended, the possibility of the thumb drive picking up software that can harm your system exists. A set of professionals dedicated to installing a system and protective protocols to ensure there are no problems is more than worth their money.

One of the most insidious of ways company information systems networks become infected or otherwise disabled come from industrious employees themselves. Hard driving team members are tempted to take work home with them, where they use their home computers to add quality and value to the work, then they bring it back to the office. Unless they are unusually careful at home, there will likely come a time when the desktop management team will have to untangle the system from some malicious program that piggybacked in with some legitimate work via thumb drive.

There is an ironic truth in the management complaint that computers have made the business so complex that if the power goes off or the information technology freezes up, everybody may as well go home. It has come to pass that we are so deeply invested in computers to operate on a daily business that we can not continue to operate without them. While this is literally true in many manufacturing and financial sectors, it is also beginning to be the state of affairs for nearly every company, and highlights the need for systems management software.

 

Information is the lifeblood of industry, from determining what product or service is needed to handling the myriad requirements that must all be pulled together to create them. Knowing the customer is a complicated business that is not intuitively obvious, and those who crack the code first are the most successful. Information is the key to the code, and information technology allows for its collection and analysis. As this new era of automation matures, the quest for ever greater detail in the information collected and studied grows until there comes a point where there is simply too much to effectively make sense of.

 

Not only is the business of manufacturing a goldmine of data, but even how we find, hire, manage and motivate our workforce is the subject of mountains of information. The process of garnering this information, however, has become an enormous task outside the normal skill set of management. Increasingly we find businesses outsourcing portions of, if not the entire process.

 

There is no question that the greater the quantity of valuable accurate data a business has to feed into the decision making process, the more likely a correct decision will be arrived at to the benefit of the company. The problem is knowing how much data is enough, and which data is useful. A manager needs to know what data was collected and under what conditions to understand the information from it. Trying to keep track of all the individual input through his area of operational control necessarily requires precious time sacrificed from running the business.

 

The reason information systems became such an integral part of business is their ability to enhance the decision making process. When the use of the system becomes so cumbersome and time consuming that it cuts into the time a manager has to explore data and make operational decisions, it has stopped enhancing the business. The complexity of our tools is rapidly becoming more problematic than running a business without them. While there is certainly reason to expend energy training management on new tools and software, it should not continue to erode their time on a day to day basis.

 

It is the essence of management to see the bigger picture, to make the decisions that will not only allow for the day to day business to get done, but to have a solid feel for what needs to be done to stay in business tomorrow. These two aspects of leadership conflict with a critical element of the reality of management, balancing time requirements. To that end, information systems were initiated to allow the manager greater access to information more quickly. While this has been a success, the data has become increasingly complex, and more and more time is eaten up processing it.

 

Everyone who has been in business knows that it is unnecessary and counterproductive for the CEO of a major company to have to deal with every detail of daily operations. Likewise, managers need to be able to ask operational information of their management system and get the answers they need without having to personally collate the individual pieces of information necessary for their development. This is why it is essential the information be loaded into the system by all employees in a coordinated master software plan.

 

Allowing the manager to spend their time using the data is the goal of information technology, and that means that while they need to understand what and how information is selected for their use, they need to be able to rely on data that is collected and provided to them as they need it. If new data geographic information is useful in determining which stores need more or less product, then they need a means to tell the computer to collect it for them. Systems management software provides the means for management to go from slave to the machine to leader of an industry.
